Returns, Warranty & RMA Policy
This policy applies to all business-to-business (B2B) sales made by KD Electronics. By purchasing from KD Electronics, customers confirm that they are buying for trade or commercial use and agree to the terms outlined below. Consumer (B2C) rights do not apply.
This policy is available to customers at all times and applies to all returns, RMAs, inspections, and warranty claims.
1. Returns for Credit (Unused Items Only)
Returns for credit are accepted subject to meeting the conditions below and must be requested within 30 days of the invoice date.
All of the following conditions must be met:
- Items must be new, unused, and in a condition suitable for resale.
- Original packaging must be undamaged and unmarked.
- Products with damaged packaging, missing accessories, or with RMA numbers, handwriting, non-removable labels, or markings on the box will not be considered new, even if the item itself is unused.
- All returns must be submitted and approved through the RMA (Return Merchandise Authorisation) process before being sent back.
Items that do not meet the above conditions, or are returned outside the 30-day period, may be returned to the customer without credit.
2. Damage or Loss in Transit
The customer is responsible for the condition of returned goods and for ensuring adequate packaging until the items are received by KD Electronics.
All returned items must be securely packaged to prevent damage in transit.
If a delivery is received by the customer with damaged or missing items:
- The preferred action is to reject the delivery at the time of receipt, where possible.
If the delivery has already been accepted, the customer must:
- Retain the unit in the original packaging, including all accessories.
- Contact KD Electronics Sales as soon as possible, and no later than 3 days from delivery (excluding Saturdays, Sundays, and Bank Holidays) to report the damaged or missing items.
Where appropriate, KD Electronics may arrange a replacement (“swap-it”) unit and provide a prepaid return label for the damaged item.
The damaged unit must be returned in the same box it was received in, with all original accessories included.
KD Electronics cannot accept responsibility for:
- Items damaged due to inadequate packaging.
- Damage or loss not reported within the required timeframe.
- Incomplete returns where original packaging or accessories are missing.
3. Faulty Items & Inspection Process
If a unit is believed to be faulty:
- The unit must be returned to KD Electronics for testing.
- An initial assessment is carried out to confirm warranty status.
- Warranty coverage is confirmed only after the unit has been received.
- Reporting a fault does not guarantee warranty approval.
Advance Replacements
In certain circumstances, and at the sole discretion of KD Electronics, an advance replacement unit may be provided before the original unit has been inspected.
Advance replacements are only available while the product is covered by KD Electronics' 1-year warranty and are not available for products covered solely by a manufacturer's extended warranty.
Where an advance replacement is provided:
- The original unit must still be returned to KD Electronics for inspection and testing.
- The advance replacement does not constitute warranty approval, fault confirmation, or automatic entitlement to credit.
- All advance replacements remain subject to inspection and fault verification in accordance with this policy.
If the returned unit is found to be No Fault Found (NFF) or No Trouble Found (NTF), the customer will be charged for the advance replacement unit supplied.
The original unit may then be returned to the customer.
4. Warranty Period
KD Electronics provides a 1-year warranty from the date of purchase, unless otherwise stated in writing.
This warranty covers manufacturing defects only, under normal use.
Warranty entitlement is determined using the product serial number and purchase records.
Products of the same model may have different warranty coverage depending on manufacturing date, batch, or manufacturer warranty terms.
Extended Manufacturer Warranty
Some products may carry an extended warranty provided directly by the manufacturer, beyond the 1-year warranty offered by KD Electronics.
In such cases:
- KD Electronics cannot approve, reject, inspect, repair, or make warranty decisions on behalf of the manufacturer.
- The unit can only be forwarded to the manufacturer for assessment.
- All shipping costs to and from the manufacturer are the responsibility of the customer.
- Any inspection fees, repair costs, or charges applied by the manufacturer are the responsibility of the customer.
- KD Electronics is not responsible for manufacturer turnaround times, warranty decisions, or outcomes.
If a unit is outside KD Electronics’ 1-year warranty but within a manufacturer’s extended warranty, it will be handled strictly in accordance with the manufacturer’s warranty process.
5. Shipping Costs
Customers are responsible for all shipping costs when returning units to KD Electronics for inspection, assessment, or warranty verification.
If a unit is confirmed faulty and is repaired or replaced under KD Electronics’ 1-year warranty, KD Electronics will cover the return shipping to the customer.
If a unit is credited, shipping costs paid by the customer to return the item will not be reimbursed.
Manufacturer Warranty Shipping (Outside KD Electronics Warranty)
Where a unit is outside KD Electronics’ 1-year warranty and the customer chooses to proceed under a manufacturer’s extended warranty:
- The customer is fully responsible for all shipping costs to and from the manufacturer.
- This includes courier charges, handling fees, and any other costs applied by the manufacturer or logistics provider.
- KD Electronics will advise the customer of the expected shipping costs as soon as reasonably possible.
- Shipment to the manufacturer will proceed only after the customer has been informed of and accepts these costs.
- Additional costs may be incurred following manufacturer inspection or assessment; such costs are determined by the manufacturer and are outside the control of KD Electronics.
- KD Electronics cannot be held responsible for unforeseen charges imposed by the manufacturer.
6. General Conditions
All returned items must include a clear and detailed fault description.
Vague descriptions (such as “not working”, “faulty”, or “dead”) may result in the unit being tested for basic functionality only.
KD Electronics is not responsible for undetected or unverified faults where insufficient or unclear fault information is provided.
All returns must have an approved RMA.
The RMA process is required to:
- Track returned items accurately.
- Ensure both KD Electronics and the customer are aware of what is being returned and why.
- Maintain proper records of returns, inspections, and outcomes.
Items returned without an approved RMA will not be inspected or tested and may be refused and returned to the customer.
Units that do not meet the conditions outlined in this policy, including packaging, warranty status, time limits, or RMA requirements, may be returned to the customer without inspection.
